This policy explains what data the app collects, why it is processed, who can access it, and the choices available to vessels and crew who use it. Who we are: PearlCount is operated by PearlCount LLC, registered in Michigan, United States. For anything privacy-related, contact info@pearlcount.com. If you use PearlCount through your vessel, management company, or employer, that organization controls the workspace and its data; we process it on their behalf under our Data Processing Agreement. What data we collect: account information, vessel and team information, financial records, documents and receipts, operational data, and early access application details. We do not use third-party analytics, advertising, or tracking tools in the PearlCount application. Why we process data: to provide the service, authenticate users, run vessel expense and document workflows, provide AI-assisted receipt extraction and the in-app assistant, generate reports, send essential service emails, maintain audit trails, support onboarding, and keep the app secure and available. We do not sell your data. AI features: PearlCount uses the OpenAI API for receipt and invoice extraction and the in-app assistant. Your data is not used to train AI models. AI suggestions are shown for review before records are finalized. Where your data lives: PearlCount database and documents are stored on Supabase infrastructure in the European Union, Stockholm, Sweden, encrypted in transit and at rest. Who can access data: client data is private to each vessel workspace and access is controlled by role. PearlCount does not review client data during normal use except as authorized or required for support, maintenance, security, troubleshooting, backups, or legal obligations. Service providers: Supabase, OpenAI, Replit, Stripe, and Framer. Security: encrypted connections, encryption at rest, private document storage with short-lived signed links, server-enforced role-based access control, restricted administrative tools, and audit logging. If we become aware of a personal data breach affecting your data, we will notify affected customers without undue delay and within 72 hours. Data retention, deletion, and export: data is kept while your vessel uses the app and as needed for legal, accounting, and operational requirements. Closed workspace data is deleted within 30 days, with residual backups removed within 90 days unless law requires longer retention. Your rights: depending on jurisdiction, you may access, correct, export, or request deletion of personal data and object to or restrict certain processing.
